In using Inspection
Butler there are times in which the records brought up, either
for data entry or for report creation, should be narrowed to a subset of the
total records held. For example, when
one is about to enter Inspection notes or information (see Inspections)
it is helpful to narrow the records against which data may be entered to a
specific street, permit point
of contact name. The remainder of this help page will run
through a few examples to illustrate how this can be helpful and how to use the
data entry search tool:
2.
Inspection
information notes, building plans, etc. can be entered for a
previously-created permit by clicking on the Inspections button. Doing this will bring up the Permit Search panel:
3. As is summarized at the top of the panel, one is able to narrow the list of records from which to choose for Inspection data entry to specific subset based on Permit #, Permit Name, Street Address, or Business Name. Each of the fields work in the same manner:
·
Clicking on the arrow to the right of the Permit # text box
will bring up the full list of Permit numbers for the permits that have been
issued. Clicking on a specific Permit number will
narrow the subset to a very specific record:
·
Another way to limit the records to a subset is to simply
type the record
label in the text box (see Tips for
information regarding typing in text boxes).
Referring to the image above, one might simply type 2003-0007 in the
text box:
· One will notice that when typing in the text box, the panel will automatically list the very first permit number that matches the text being typed. Another way to limit the subset of available Permit records to an actual subset rather than just one one can enter only a portion of the permit number and what will be returned is all of the records that contain the text:
Entering the text listed above 03-000 will return all records that contain this set of characters, such as 2003-0007 and 2003-0001. This is particularly useful when narrowing the records to a specific street name or Permit name. For example, entering Elm in the Street text box will return all of the permit numbers for permits related to street addresses that include the text Elm, such as 125 Elm Street and 991 Elmwood Drive.
· Finally, combinations of the fields listed can be used to further narrow the records. For example, entering 003-000 in the Permit # field and Elm in the Street Address field will return all those permit numbers that meet both criteria:
